Taking care of business while
on vacation may reduce costs
If you’re travelling for business
this winter and thinking about
‘working” tn a well-needed
vacation, there may be some
attractive tax benefits.
“Given the demands of today’s
business environment, many of us
may not take a vacation unless we
tag it onto a business trip,” says
chartered accountant Sam Zuk, of
Toronto.
“Whether you’re visiting a branch
office or attending a convention and
you’ve decided to take some
vacation, there may be costs that
overlap, such as transportation and
accommodation. Your company will
be covering these costs for your
business trip so they can write them
off provided they're reasonable. Half
of your business-related meal
expenses can also be claimed by
your company.”
“If you’re taking your spouse, he
or she will obviously have a place to
stay, but once the business portion of
the trip is complete and your
vacation begins you can no longer
write off anything,” advises Zuk.
“Whether you’re self-employed or
work for someone else, the Canada
Revenue Agency (CRA) allows
expenses to be deducted for two
conventions per year, provided it is
related to the nature of your business
or profession.”

Zuk says that attending
conventions is an effective way of
generating business leads and that
many organizations recognize the
benefit of having spouses attend as
well. “When you’re working, your
spouse is likely attending events
organized for spouses, where he or
she is networking and helping to
generate business leads and forge
relationships.”
“If your organization pays for you
to take your spouse on a business
trip, it can write off his/her costs. It
wouldn't be considered a taxable
benefit, or income earned, if your
spouse attended at the request of
your employer and the main purpose
was related to the business
objectives of the trip. If that’s not the
case, you will have to treat your
spouse’s costs as a taxable benefit on
your tax return.”
Chartered accountant Sam
Seidman, of Toronto, advises his
clients to keep a log of business
activities during their trip as a
reference, in case of an audit. “If you
had dinner with someone, it’s
important to write the person’s name
on the receipt and the nature of the
business discussed. Do this when it’s
fresh in your mind. If you are
audited and you can prove that
something was a reasonable business
expense with back-up

documentation, CRA will usually
not question it.”
A chartered accountant may offer
some practical ways to mix business
with rest and relaxation. “Some
ideas that come to mind are mixing
business with training. Going on a
cruise, for instance, may qualify as a
business expense if you’re engaged
in something related to business,
such as taking a training course,”
advises Seidman.
“Exercise caution if you’re using
your company credit card and
collecting air miles to finance the
cost of your vacation. You may not
realize that the points have value and
could be considered a taxable
benefit. If you use the points towards
more business travel for your
company, this is not a taxable
benefit. However, you should
document all details for accounting
purposes.”
If you cash in the points and use
them towards personal travel, you’ll
have to determine the fair market
value and claim it on your tax return
as a taxable benefit,” adds Seidman.
“You’re receiving this benefit
because of travel that was paid for
by your employer and CRA expects
you to highlight that value on your
tax return.”
